Correos, solicitudes y trámites
Chapter Objectives
By the end of this chapter, you will be able to:
- Write and interpret a formal email that makes a request, attaches a document, or refers to a deadline.
- Distinguish por and para in the contexts most relevant to formal requests: deadlines, purpose, exchange, and means.
- Use the personal a accurately when a formal request names a specific person or office as its recipient.
- Continue using the impersonal se formulas from Chapter 2 (se solicita, se requiere) in new request-and-procedure contexts.
- Recognize the standard parts of a formal email: greeting, purpose statement, request, closing, and signature.
- Understand a short spoken message about a deadline, a missing document, or a pending procedure.
- Read and interpret a formal email or notice about a request, an attachment, or a deadline.
- Write a formal email that makes a clear, polite request and states a deadline.
This chapter continues the document-oriented register and impersonal se formulas introduced in Chapter 2, and applies them to a new communicative task: the formal request. Por and para are introduced here only in the meanings needed for requests, deadlines, and attachments; the fuller contrast is developed later in this volume.
Communication Scenario
Daniela's office needs a signed authorization from a partner office before it can proceed with a project. She must write a formal email requesting the document, attaching a form that needs to be completed, and stating a deadline. Later in the day, she also needs to read and respond to a message from another department about a pending procedure that affects her own request.
- Think of a time you had to ask an office, a school, or a company for something in writing. What information did your message need to include for the request to be clear and easy to act on?
- As you move through this chapter, notice how Spanish formal emails state the purpose of the message early, make the request directly but politely, and close with a clear next step.
Core Vocabulary: El correo formal y el trámite
Purpose: to introduce vocabulary needed to write and interpret a formal email that makes a request, attaches a document, or refers to a deadline or procedure.
| Español | Significado | Registro / nota |
|---|---|---|
| el correo electrónico | Núcleo profesional | |
| la solicitud | request, application | Núcleo profesional |
| el trámite | procedure, formality | Núcleo profesional |
| el formulario | form | Núcleo profesional |
| el plazo | deadline, time period | Núcleo profesional |
| la fecha límite | deadline (specific date) | Núcleo profesional |
| el comprobante | proof, receipt, supporting document | Núcleo profesional |
| el remitente | sender | Formal/escrito |
| el/la destinatario/a | recipient | Formal/escrito |
| el asunto | subject line | Formal/escrito |
| estimado/a | dear (email greeting) | Formal/escrito, fórmula fija |
| atentamente / cordialmente | sincerely / cordially | Formal/escrito, fórmula fija |
| adjuntar | to attach | Núcleo profesional, recycled from Ch. 2 |
| gestionar | to manage, to process (a procedure) | Núcleo profesional |
Learners should recognize estimado/a and atentamente/cordialmente as fixed formulas that open and close a formal email. Their internal grammar does not need separate analysis at this stage.
Grammar Focus: Por y para, y la a personal
Purpose: to introduce por and para in the specific meanings most useful for formal requests, and to consolidate the personal a when a request names a specific person or office.
Para is introduced here in three request-related meanings: a deadline by which something must happen, the purpose of a document or action, and the person or office for whom something is intended.
- Necesitamos el formulario para el viernes. We need the form by Friday. (deadline)
- Este comprobante es para confirmar el pago del trámite. This receipt is to confirm payment of the procedure. (purpose)
- El formulario es para la oficina de recursos humanos. The form is for the human resources office. (recipient)
Por is introduced here in three request-related meanings: the means by which something is sent or done, an exchange, and a duration or general period of time.
- Le enviamos el comprobante por correo electrónico. We are sending you the receipt by email. (means)
- Gracias por su atención a esta solicitud. Thank you for your attention to this request. (exchange)
- El trámite puede tardar hasta dos semanas por la cantidad de solicitudes pendientes. The procedure may take up to two weeks due to the number of pending requests. (cause/duration)
At this stage, learn these por and para uses as separate, reliable patterns rather than a single rule. The complete contrast between the two words is developed later in this volume, once more meanings and more complex sentences are available.
When a formal request names a specific person as its object, Spanish marks that person with the personal a. This applies even when the person is an office holder referred to by title.
- Le escribimos a la coordinadora del proyecto para solicitar su autorización. We are writing to the project coordinator to request her authorization.
- Se contactó al señor Aguilar antes de enviar el formulario. Mr. Aguilar was contacted before the form was sent.
Contrast this with a request that names a document or office rather than a person, where personal a does not apply: Enviamos el formulario a la oficina de recursos humanos uses a only as a destination marker, not as personal a, since an office is not a person.
Práctica de repaso:
- Completa con por o para: "Necesitamos el comprobante ___ el lunes."
- Completa con por o para: "Gracias ___ su respuesta rápida."
- Decide si la siguiente oración necesita la a personal y explica por qué: "Contactamos ___ el coordinador antes de enviar la solicitud."
Pronunciation Focus: Entonación y enlace
Purpose: to practice the intonation of polite requests and questions, and the linking of words across boundaries in longer formal sentences, using vocabulary already active in this chapter and the chapter before it.
A polite written request often corresponds, when read aloud, to a falling intonation that signals a statement rather than a demand, as in le agradecemos su pronta respuesta. A formal yes/no question, such as ¿Recibió usted el formulario?, rises toward the end. Across word boundaries, Spanish links a final consonant to a following vowel, so a phrase such as el asunto or por atención is pronounced as a smooth, connected unit rather than as separate, clipped words.
- Read aloud: Le escribimos para solicitar su autorización antes del plazo indicado. Focus on smooth linking between words.
- Read aloud as a question, with rising intonation: ¿Recibió usted el comprobante que enviamos por correo electrónico?
Model Dialogue: Un trámite pendiente
Context: Daniela calls a colleague in another office, el señor Rivas, to follow up on a pending procedure. Relationship: professional acquaintance from a partner office; setting: telephone call, formal register.
Both speakers use para to state a deadline and por to name the means of sending the document, while maintaining usted throughout the professional exchange.
- Find every use of por and para in the dialogue and state which meaning each one expresses.
- Identify the impersonal se formula recycled from Chapter 2 and explain what it describes here.
- Rewrite Sr. Rivas's second turn as a short, polite email opening instead of a spoken exchange.
Reading Task: Un correo formal
This email is an adapted textbook composition written for this chapter, not an authentic institutional message.
- Identify the email's purpose statement and the specific request it makes.
- Find the deadline mentioned in the email and explain how para introduces it.
- Find the sentence that uses por and explain which meaning it expresses.
- Identify the greeting and closing formulas used in the email.
- In two or three sentences, explain how this email's structure differs from a personal message to a friend.
Listening Task
Ask your instructor, a partner, or a text-to-speech tool to read the following three short voicemail messages aloud. As you listen, note the deadline or missing item mentioned in each one.
| Mensaje | Plazo o comprobante pendiente |
|---|---|
| "Le llamamos para informarle que falta un comprobante de pago. Necesitamos que lo envíe antes del jueves." | ______ |
| "Su solicitud se está gestionando, pero el formulario debe llegar por correo electrónico antes de la fecha límite del viernes." | ______ |
| "Se le recuerda que el trámite se cierra en dos semanas si no se recibe el comprobante adicional." | ______ |
Writing Workshop: Un correo de solicitud
Write a short formal email (100 to 150 words) requesting a document, form, or authorization from an office or a specific person. Use at least one para phrase for a deadline, one por phrase, and the personal a if you name a specific person.
- Escribe el saludo y el asunto. Open with Estimado/a and a clear subject line.
- Indica el propósito del correo. State clearly what you are requesting.
- Menciona un plazo. Use para to state a deadline.
- Ofrece información adicional. Use por to state how you will send or received something.
- Cierra el correo. Use a closing formula such as atentamente and a signature.
Lista de revisión:
- I used para correctly to state a deadline, purpose, or recipient.
- I used por correctly to state a means, exchange, or duration.
- I used the personal a if my request named a specific person.
- I used usted/ustedes consistently throughout.
- I included a greeting formula, a clear request, and a closing formula.
- I checked accents and punctuation throughout.
Speaking Task
Práctica controlada
With a partner, take turns saying three sentences aloud, each correctly using either por or para in a request context.
Tarea comunicativa: Llamada de seguimiento
In pairs, role-play a short telephone call in which one person follows up on a pending request and the other explains what document is missing and states a deadline for it.
Alternativa individual
If you are studying independently: record yourself reading the email from the Writing Workshop aloud, paying attention to the intonation of requests and questions practiced in this chapter's Pronunciation Focus.
Culture and Communication
Formal requests in many Spanish-speaking institutions typically state the purpose of the message early, make the request directly but politely, and close with an expression of thanks and a clear next step. This structure supports efficient processing in offices that handle many similar requests, and it should not be read as coldness; the same writer may use a warmer, more personal tone in other contexts.
Institutional procedures, required documents, and typical processing times vary considerably by country, sector, and organization. A learner working with a specific institution should confirm its actual requirements rather than assuming that any single textbook example describes every Spanish-speaking institution's procedures.
Common Mistakes to Avoid
Error: Using por to state a deadline: Necesitamos el formulario por el viernes.
Correction: Use para for a deadline: Necesitamos el formulario para el viernes.
Error: Omitting the personal a when a request names a specific person: Contactamos el coordinador antes de enviar la solicitud.
Correction: Include the personal a: Contactamos al coordinador antes de enviar la solicitud.
Error: Opening a formal email as if it were a text message to a friend: Hola, necesito el formulario ya.
Correction: Use the standard formal opening and a polite, complete request: Estimado/a...: Le escribo para solicitar...

Answer Key
Grammar Focus Practice
- Necesitamos el comprobante para el lunes.
- Gracias por su respuesta rápida.
- The sentence needs the personal a: "Contactamos al coordinador antes de enviar la solicitud," because el coordinador is a specific person functioning as the direct object.
Model Dialogue — Practice
1. "Le llamo por el formulario" uses por for the topic/reason of the call; "¿Para cuándo...?" and "para el próximo miércoles" use para for a deadline; "por correo electrónico" uses por for the means of sending. 2. "Se está gestionando" is the impersonal se formula, recycled from Chapter 2, describing that the office is processing the procedure without naming who specifically is doing so. 3. Model answer: "Estimada señora Paredes: Le escribo para confirmar que recibimos su formulario. Se está gestionando, pero necesitamos un comprobante adicional para continuar con el trámite."
Reading Task — Model Analysis
1. The email's purpose is to request authorization for the regional coordination project, and it attaches a completed form for review. 2. The deadline is "el próximo lunes," introduced with para: "Necesitamos la autorización para el próximo lunes." 3. "Con gusto se lo enviamos por correo electrónico" uses por to state the means of sending an additional document. 4. The greeting is "Estimada coordinadora" and the closing is "Atentamente," followed by a signature and area name. 5. Model answer: The email states its purpose immediately, makes a specific, time-bound request, and closes with a formula of thanks, unlike a personal message that might open with casual small talk before getting to the point.
Listening Task
Model answers: Mensaje 1 — falta un comprobante de pago, que debe enviarse antes del jueves. Mensaje 2 — el formulario debe llegar por correo electrónico antes de la fecha límite del viernes. Mensaje 3 — el trámite se cierra en dos semanas si no se recibe el comprobante adicional.
Chapter Review — Parte D (model answer)
Model answer: Learners may note that recognizing por and para while reading feels increasingly natural, while choosing correctly between them while writing an original request still requires conscious attention. Other honest, specific answers are equally acceptable.
Looking Ahead
Lo que ya sabes
This chapter has introduced por and para in the meanings most useful for formal requests, together with the personal a for naming specific people in those requests. You have applied the document-oriented register and impersonal se formulas from Chapter 2 to a new task — the formal email — and you have practiced the intonation patterns of polite requests and formal questions.
